About the Team 

The Admin Team is a small but integral part of the business. Customer service, along with the ability to communicate on a face-to-face, verbal and written basis, is essential. You must therefore be able to work to deadlines whilst remaining friendly and helpful in all aspects of the role.

Summary

Your primary responsibility will be managing the booking travel, facilities, equipment and supplies. You will also process some expenses and vendor payments via the SAP Concur system amongst other duties. You will have an excellent level of customer service to both internal and external stakeholders along with being encouraged to continuously find ways of improving processes and tasks as well as lead or take part in adhoc projects.

Responsibilities

  • Provide administrative support to travel and expense requests and approvals - liaise with travel desk and business traveler and provide internal customer-focused support
  • Processing corporate credit card expenses and vendor invoices via SAP Concur 
  • Approving Admin-related requests and expenses via SAP Concur 
  • Meeting rooms – booking on behalf of the business and keeping them tidy 
  • Coordination of meetings–for both visitors and employees 
  • Ordering pantry supplies when needed
  • Ordering stationery, business cards and maintaining office equipment 
  • Provide project management support to facilities renovations –day-to-day facilities support with access cards, office cleaning arrangement etc. 
  • Subscriptions – newspapers and magazines, mobile data plans, etc
  • Memberships – Tower Club, Sentosa Golf Club, etc 
  • Mail – arranging local and overseas courier, posting mail, collecting mail from letterbox 
  • Printing and binding of meeting materials for businesses
  • Restaurantreservations & taxi bookings 
  • Fire Warden – maintaining staff register, facilitating evacuation during fire drills and emergencies 
  • Other adhoc duties which includes but not limited to supporting the quarterly Happy Hour, annual company party, CSR events, etc 

Qualifications

  • Diploma or Degree in any discipline
  • Basic PC skills including using of Microsoft Word and Excel required
  • Friendly disposition with good communication skills essential
  • A good level of verbal and written English essential
